1 Information We Collect

We may collect information about you in a variety of ways. The information we may collect on the Site includes:

  • Personal Data: Personally identifiable information, such as your name, address, email address, telephone number, and demographic information, that you voluntarily provide when you choose to participate in activities such as online chat, contact forms, consultation requests, or newsletters.
  • Derivative Data: Information our servers automatically collect when you access the Site, such as your IP address, browser type, operating system, access times, and the pages you have viewed directly before and after accessing the Site.
  • Project & Service Data: Information relating to your home automation or home theatre project requirements, property type, preferred installation timeline, and budget range, which you may provide when submitting an enquiry or booking a consultation.
  • Device Data: Device information, such as your device ID, model, manufacturer, operating system version, and unique device identifiers, if you access the Site from a mobile or desktop device.
  • Usage & Location Data: Approximate geographic location data derived from your IP address, pages visited, time spent on pages, and referring URLs, collected automatically via analytics tools.
  • Third-Party Data: Information from third parties, such as personal information, if you interact with us via a Meta Lead Ad, Click-to-WhatsApp ad, or other third-party channel and grant permission for that information to be shared with us.

2 Use of Your Information

We use the information collected about you via the Site to:

3A Consent for Lead Follow-Up via Advertising Channels

Meta Lead Ads Policy · DPDP Act 2023

When you submit an enquiry, click a “Send Message” or “Get Quote” button, or initiate a chat with us via a Click-to-WhatsApp ad, Instagram Lead Ad, Facebook Lead Ad, or any other Meta-powered advertisement, you are providing explicit consent for Auto-mate Solutions to contact you for the following specific purposes:

  • Providing you with a quotation for home automation, home theatre, or related products and services
  • Scheduling a free or paid consultation as requested
  • Addressing your queries regarding our products, services, pricing, or installation process
  • Following up on an ongoing enquiry or project proposal

This consent is purpose-specific. Data collected for the purpose of a quote or consultation will not be separately used for unrelated marketing communications without obtaining fresh, explicit consent from you.

You may withdraw your consent at any time by contacting us at +91 80884 26206 or via WhatsApp, or by replying “STOP” to any message from us. Withdrawal of consent does not affect the lawfulness of any processing carried out prior to withdrawal.


4 Disclosure of Your Information

We may share information we have collected about you in certain situations:

  • By Law or to Protect Rights: If we believe the release of information about you is necessary to respond to legal process, to investigate or remedy potential violations of our policies, or to protect the rights, property, and safety of others, we may share your information as permitted or required by any applicable law, rule, or regulation.
  • Third-Party Service Providers: We may share your information with third parties that perform services for us or on our behalf, including CRM platforms, payment processing, data analysis, email delivery, and customer service. Auto-mate Solutions currently uses Zoho CRM for lead management and follow-up. Zoho CRM processes your data on our behalf as a data processor, and we maintain a Data Processing Agreement with Zoho to ensure your data is handled securely and in accordance with applicable law.
  • Marketing Communications: With your prior consent, we may share your information with third parties for marketing purposes.
  • Business Transfers: We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
  • Third-Party Advertisers: We may use third-party advertising companies, including Meta (Facebook/Instagram) and Google, to serve ads when you visit the Site. These companies may use information about your visits to the Site and other websites in order to provide advertisements of interest to you. Please refer to Sections 3A, 5A, 5B, and 6 for details.

We do not sell, trade, or otherwise transfer your personally identifiable information to third parties without your consent, except as described in this policy or as required by law.


5 Tracking Technologies

  • Cookies and Web Beacons: We use cookies to help customise and improve your experience on the Site. Most browsers are set to accept cookies by default. You can remove or reject cookies, but doing so may affect the availability and functionality of the Site.

5B Google Ads & Remarketing

Google Ads Programme Policies

Auto-mate Solutions uses Google Ads to promote our products and services. This includes the following Google advertising features:

  • Google Ads Remarketing – We show ads to people who have previously visited our Site as they browse other websites or apps on the Google Display Network, or search on Google.
  • Google Search Ads – We run keyword-based ads on Google Search to reach people actively searching for home automation and related services.
  • Google Ads Conversion Tracking – We track actions taken after clicking our ads (such as form submissions or WhatsApp initiations) to measure campaign performance.
  • Google Analytics Advertising Features – We may use demographics and interest reports and remarketing lists built via Google Analytics.

Google’s use of advertising cookies enables it to serve ads to you based on your prior visits to our Site. You can opt out of personalised advertising by visiting myaccount.google.com/data-and-privacy or by installing the Google Analytics Opt-out Browser Add-on.

6 WhatsApp Business, Meta Pixel & Meta Data Sharing

Auto-mate Solutions uses WhatsApp Business (operated by Meta Platforms, Inc.) to communicate with customers and prospects. As part of this, we participate in Meta’s ads data sharing programme, which allows us to share certain customer-related activity data with Meta to help improve the relevance of our advertisements on Facebook and Instagram.

Meta Pixel

We have installed the Meta Pixel on our Site. The Meta Pixel is a piece of code that allows us to measure the effectiveness of our advertising by understanding what actions people take on our Site after clicking our Facebook or Instagram ads. The Pixel collects data such as page views, form submissions, and button clicks. This data is sent to Meta and used to optimise our ad campaigns and build audiences for future advertising. By visiting our Site, you may have the Meta Pixel active, subject to your cookie consent choices (see Section 5A).

Click-to-WhatsApp Ads

When you click one of our WhatsApp ads on Facebook or Instagram and initiate a conversation, this action is recorded by Meta as a conversion event. The conversation is user-initiated, and by clicking and chatting, you are consenting to Auto-mate Solutions contacting you via WhatsApp for the purposes outlined in Section 3A. Your message content is never shared with Meta (see “What is NOT shared” below).

Instagram Lead Ads & Facebook Lead Ads

Where we run Lead Ad campaigns on Instagram or Facebook, the information you provide in the lead form (name, phone number, email, and any other fields specified) is shared with Auto-mate Solutions in accordance with Meta’s Lead Ads Terms. We use this information solely for the purposes described in Section 3A above.

What IS shared with Meta What is NOT shared with Meta
Customer activity events, such as when an enquiry is submitted, a consultation is booked, or a transaction is initiated or completed via our Site or WhatsApp channel. The content of your messages or calls with Auto-mate Solutions via WhatsApp is never shared with Meta.
  Your name, email address, and phone number are not shared with Meta through this data sharing arrangement.

Your Controls

  • You can manage or disable WhatsApp Business ads data sharing preferences at any time directly within the WhatsApp Business app settings.
  • Disabling ads data sharing means Meta will no longer receive customer activity event data from your interactions with us via WhatsApp.

Compliance

As required under Meta’s Meta Business Tool Terms, Auto-mate Solutions is committed to complying with all applicable laws in connection with this data sharing. This includes ensuring that customers are informed about data sharing practices (as set out in this policy) and that appropriate permission exists before any data is shared with Meta.


7 Data Retention

DPDP Act 2023 · Meta Lead Ads Policy

We retain personal data only for as long as is necessary for the purposes for which it was collected, and in accordance with applicable law. Our retention periods are as follows:

At the end of the applicable retention period, personal data is securely deleted or anonymised. You may request early deletion of your data by contacting us using the details in Section 15.


8 Links to Third-Party Websites

Our Site may contain links to third-party websites, including but not limited to product manufacturer websites, partner portals, social media platforms (Meta, LinkedIn), and payment gateways. These third-party websites have their own privacy policies, and we do not accept any responsibility or liability for their practices. We encourage you to review the privacy policy of any website you visit.

The inclusion of a link on our Site does not imply endorsement of the linked site by Auto-mate Solutions.


9 Public Comments and Reviews

When you post comments, reviews, testimonials, or other content to the Site or to our social media channels (including Instagram @automate.solutions), such content may be viewed by all users and may be publicly distributed outside the Site in perpetuity. Please exercise discretion in what personal information you share in public-facing formats.


10 Security of Your Information

We use administrative, technical, and physical security measures to help protect your personal information, including SSL/TLS encryption for data in transit and access controls on our internal systems and CRM platform.

While we take reasonable steps to secure the personal information you provide us, please be aware that despite our efforts, no security measures are perfect or impenetrable, and no method of data transmission can be guaranteed against interception or other types of misuse. If you have reason to believe your personal data has been compromised, please contact us immediately using the details in Section 15.


11 Children’s Privacy

We do not knowingly solicit information from or market to children under the age of 18. Auto-mate Solutions’ services are intended for adults making decisions about their homes or commercial properties. In accordance with India’s Digital Personal Data Protection Act, 2023, a “child” is defined as a person below 18 years of age, and we do not process the personal data of children without verifiable parental or guardian consent.

If you become aware of any data we may have collected from a child under age 18, please contact us immediately using the details provided in Section 15.


12 Cross-Border Data Transfers

Auto-mate Solutions is based in India. However, some of the third-party service providers we use — including Google (USA), Meta Platforms, Inc. (USA), and Zoho Corporation (India/USA) — may process your personal data outside India.

Where your personal data is transferred outside India, we take steps to ensure that it is protected to a standard consistent with India’s Digital Personal Data Protection Act, 2023, including relying on Data Processing Agreements with our service providers and, where required, standard contractual protections.

By using our Site and services, you acknowledge and consent to the transfer of your personal data to countries outside India for the purposes described in this policy.


13 Your Rights & Choices

Under India’s Digital Personal Data Protection (DPDP) Act, 2023, and other applicable laws, you have the following rights as a Data Principal regarding the personal information we hold about you:

  • Right to Correction: Request correction of inaccurate or incomplete personal data.

14 Grievance Officer (India)
